PRACTICAL GUIDES · MADE FOR RESTAURANTS

Restaurant Loyalty Program Emails and Automation Flows

Make the program easier to understand, the reward easier to use, and the next visit easier to plan. Start with four useful messages.

Plan Your Restaurant Loyalty Program Emails

Loyalty emails should make the program understandable and useful. Begin with the actual rules: who can join, how a reward is earned, how it is redeemed, and when it expires.

Treat your rewards system as the source of truth. This website supplies examples and a generator; it does not connect to your POS, read balances, or operate an automated loyalty program.

Welcome New Members

Enter the welcome flow only after enrollment has been recorded and the communication basis is appropriate. An enrollment message does not mean every promotional email is automatically expected. State where current terms and preferences can be found.

Explain Rewards and Redemption

Explain the steps in the order a guest takes them. If a code is required, test it with the team. If rewards are account-specific, link to the current account view or use verified platform fields instead of a made-up number.

Celebrate Milestones and Anniversaries

Use a known membership milestone only when your records support it. A simple thank-you can be useful without implying knowledge of a personal occasion. Keep any optional offer separate and explain its terms.

Re-Engage Inactive Members

Measure Rewards without Over-Discounting

Track eligible recipients, clicks to reward details, redemptions, and contribution after the reward cost. A redemption count alone cannot tell you whether the offer created additional profitable visits.

Review guest questions and staff friction too. Confusion about exclusions or an unusable code can matter more than a high open count.

  • Check that the audience belongs in this campaign and exclude unsubscribed contacts.
  • Replace every bracketed placeholder with accurate details. Verify the menu, booking link, dates, price, and offer conditions.
  • Add a truthful sending identity, the appropriate postal address and exit mechanism, and any disclosures required for your actual use.
  • Import into your email platform, set subject and preheader separately, send a test, and check both a narrow screen and desktop.
