PRACTICAL GUIDES · MADE FOR RESTAURANTS

Restaurant Welcome Email Templates and a Three-Step Flow

Someone has chosen to hear from your restaurant. A useful welcome explains what comes next, offers a clear first step, and respects that choice.

Set Clear Expectations in Your Restaurant Welcome Email

A restaurant welcome email acknowledges a real signup and explains what the guest can expect next. It is a useful place for the menu, location, and booking link, not a reason to overload a new subscriber with every promotion.

The three templates below are original examples for the fictional restaurant The Copper Table. Replace the facts, configure your platform’s footer and exit process, and test before sending.

Template 1: Introduce Your Restaurant

Use this after the relevant signup or confirmation step. Match the content promise to the signup wording so the recipient understands why the email arrived.

Template 2: Invite a First Visit

A first-visit invitation can answer practical questions without a discount. If you do add an offer, write the eligibility, expiry, redemption method, and exclusions before generating the message.

Template 3: Follow Up without Repeating Yourself

Send a follow-up only if it adds something useful. When reliable data shows the guest has already visited or redeemed a welcome offer, suppress messages that no longer fit.

Measure the Welcome Series

Track relevant clicks, first bookings or visits where reliably attributable, and unsubscribes. Review which messages guests respond to and whether they have unanswered practical questions.

Use a manageable test group and change one important element at a time. There is no universal interval or guaranteed conversion rate. Start with an introduction if your team cannot maintain a series yet.

  • Check that the audience belongs in this campaign and exclude unsubscribed contacts.
  • Replace every bracketed placeholder with accurate details. Verify the menu, booking link, dates, price, and offer conditions.
  • Add a truthful sending identity, the appropriate postal address and exit mechanism, and any disclosures required for your actual use.
  • Import into your email platform, set subject and preheader separately, send a test, and check both a narrow screen and desktop.
